For the functioning of our website and the provision and handling of services, we process privacy-sensitive information, also known as personal data. In some cases, we collaborate with other organizations or companies. Think, for example, of the postal services (Bpost) for sending an order.

What data do we collect and use (and why)?
When using our website(s) and services, you leave certain data with us. Depending on the services or functionalities you use, these may also be personal data.
We do not always process all the data that you can find in the list below.
For example, when ordering a physical product, we process your email and address to deliver your order and inform you about it via email. Your home address is not used for any other purpose. Other data is only used to improve the user experience of our websites.
Personal Data
Depending on the services and functionalities you use on our website(s), we may process the following personal data from you:

- Information you fill in an open field, such as a Facebook post or a comment on our websites, contact form.
- IBAN (for purchases/orders)
- Login details (password is encrypted so we cannot see it)

Depending on which services and/or functionalities you use, we process the above data for one or more of the following purposes:
- To provide you with the opportunity to order articles through our websites and use all functionalities and services on the websites.
- To process your order and inform you about its progress.
- To process your registration for our membership, our community, or other services.
- To communicate with you by sending personalized electronic newsletters.
- To find out which topics are relevant to consumers and thus determine which products or services we will test and/or offer.

Disclosure of data to third parties
We may disclose the data provided by you to third parties if necessary for the delivery of the products ordered by you or requested services.
For example, we use a third party to handle online payments in our webshop and provide your data to the postal delivery service (Bpost) to deliver the order to you. The same applies to mailing providers through which we send our newsletters.
When we provide your data to a third party, we ensure (through an agreement) that your data will not be used for other purposes by these parties. We also agree that your data will be deleted once they are no longer needed.
Furthermore, we will never provide the data you provided to other parties unless required or permitted by law. For example, it is possible that the police may request data from us as part of a judicial investigation. In that case, we are legally obliged to share this information.
Mailing Providers
Your personal data is stored on servers of the mailing provider Mailerlite. Mailerlite’s data center service provider provides all necessary security measures for data protection and processing. Mailerlite’s services are hosted by a trusted and certified data storage center located in the European Union and hold an information storage security certificate (ISO 27001). You can trust that your data is secure.
Retargeting
In addition, we share data obtained through downloading a free document with Facebook to create advertising audiences. More information about Facebook’s privacy policy can be found here. Your data may also be transferred by Facebook to the United States. This transfer of data is also based on the EU-US Privacy Shield Framework. Miscellaneous
There are still several companies and individuals who may have access to your data, including our accountant, the web hosting company, and any interns. We also enter into a data processing agreement with these individuals and companies to prevent your personal data from being shared with other parties.

Secure and Retain
We take the protection and security of the personal data obtained with your consent very seriously. We have implemented appropriate technical measures to secure personal data against loss or other forms of unlawful processing. These measures, including encryption through an SSL certificate, provide a security level that is appropriate for the data we process. We also ensure (through a written agreement) that only necessary individuals have access to your data (see also ‘Disclosure of data to third parties’).
The programs we use to process your personal data and store this information are secure. Personal data on our own computers is not retained longer than strictly necessary. So, it is kept for as long as necessary to provide the service requested by you.
Exceptions to this are the data that we must retain for a longer period because the law obliges us to do so. For example, there is a statutory retention period of 7 years for our administration/accounting. However, this data is never retained on our own computers but in the secure (online) environment of, among others, our accounting firm and the tax authorities.
Data Breach Notification
Mountainbikevibes is aware of the data breach notification obligation. If personal data is lost or compromised, we will report it to the Data Protection Authority. In the event of a serious data breach or risk to the individuals involved, we must also inform the affected individuals directly.

This statement does not apply to third-party websites connected to our website through links. We cannot guarantee that these websites handle your personal data in a reliable or secure manner. As mentioned, we always request your explicit consent before using your data for specific purposes.
You always have the right to withdraw your consent for the processing of your data, after which we will no longer process your data. Withdrawing this consent does not affect the lawfulness of our data processing based on your consent before this withdrawal.

If you want to know which personal data we process about you, you can make a written request for access. If your data is incorrect, incomplete, or irrelevant, you can request in writing that we modify or supplement your data.
